Invoice 21 Days Overdue: Email Templates for Freelancers
At three weeks overdue, you have probably sent a friendly nudge and a second reminder already. The invoice is not a mistake anymore; it is stuck somewhere. This email needs to be firmer: restate the facts, ask for a specific payment date, and widen the circle to someone who can actually approve the payment.
What changes at 21 days overdue
- Switch from "just checking in" to a direct request for a payment date.
- Mention the earlier reminders so the history is clear in one thread.
- Find a second contact: accounts payable, finance, or the person who signed the contract.
- Ask if anything is blocking payment (missing PO, W-9, wrong address) so you can fix it fast.
Before you send
- Re-attach the invoice and include the payment link in the email body.
- Check that the invoice details (PO number, legal name, address) match what AP needs.
- Pause new work if your terms allow it, and say so plainly.
- Set a reminder for the reply-by date so the next step is on time.
