Email Asking a Client to Confirm the Payment Date (Free Templates)
Asking for a specific payment date is one of the most useful things you can do with an open invoice. It is polite, it does not accuse anyone of anything, and it turns "we will get to it" into a date you can plan around and follow up on. Use the templates below before or after the due date.
Make it easy to answer
- Ask one clear question: "Could you confirm the date this will be paid?"
- Include the invoice number, amount, and due date so they do not have to look anything up.
- Offer a yes/no shortcut: "Is [Due Date] still on track?"
- Put the payment link in the email in case they can just pay right away.
When the answer is vague
- Thank them, then ask for a specific day: "Could you give me a date so I can note it on my side?"
- If they mention a process (approval, payment run), ask when the next run is.
- Once you have a date, confirm it back in writing and follow up the day after if it does not arrive.
Free template 1: Before the due date
Replace every [bracket] before sending.
Hi [Client Name], Quick check on invoice [Invoice #] for [Amount], due [Due Date]. Is that date still on track on your side? A one-line reply is perfect. I just like to keep my books up to date. Here is the payment link in case it is useful: [Payment Link]. Thanks, [Your Name]
Free template 2: After the due date
Replace every [bracket] before sending.
Hi [Client Name], Invoice [Invoice #] for [Amount] was due on [Due Date] and still shows as open on my side. Could you confirm the date it will be paid? If there is anything holding it up (a missing PO, the wrong contact, a question about the work), let me know and I will sort it quickly. You can pay here: [Payment Link]. Thanks, [Your Name]
Free template 3: Got a vague "soon"
Replace every [bracket] before sending.
Hi [Client Name], Thanks for getting back to me, I appreciate it. So I can plan on my side, could you give me a specific date for invoice [Invoice #] ([Amount])? If it goes out in your next payment run, just let me know when that is. Once I have the date I will stop nudging you! Thanks, [Your Name]
