How to Ask a Client for a Payment Status Update: Polite Email Templates
Sometimes the invoice is not ignored, it is just somewhere in the system and nobody has told you where. A payment status request is a different email from a reminder. You are not asking them to pay right now; you are asking for three facts: where the invoice is, when it will be paid, and who you should ask if it slips.
When a status request fits better than a reminder
- The client confirmed they received the invoice, but no payment date was given.
- They said it is “being processed”, “in the next run”, or “with finance”.
- You work with a larger company that pays in batches through accounts payable.
- The due date is close or just passed and you want a date before you escalate.
What to ask for, every time
- The expected payment date (a specific day, not “soon”).
- The payment method and any reference number, so you can match it when it lands.
- Whether anything is missing on their side: a PO number, a W-9, a vendor form, or an approval.
- The name of the person who owns the payment if your contact is not the one paying.
