Client Waiting on Budget Approval: What to Email

When a client says the invoice is stuck on budget or PO approval, do not wait in silence. Ask for the approver name, a decision date, and keep unpaid work paused until money clears.

Subject: Invoice [Invoice #] — budget approval status?
Hi [Client Name],

Thanks for the update that invoice [Invoice #] ([Amount], due [Due Date]) is waiting on budget / PO approval.

To keep this moving, can you confirm:
1) Who is the approver (name + role)?
2) When do you expect a decision (date)?
3) Is anything still missing on my side (revised invoice, PO number, W-9)?

Until approval and payment clear, I am keeping [paused work / next milestone / access] on hold as of [Pause Date]. Pay link when ready: [Payment Link].

Reply with the approver name and decision date when you can.

Thanks,

Subject: Re: Invoice [Invoice #] — need approver + date
Hi [Client Name],

Understood that budget / PO is still pending. I still need:

• Approver name: [or ask them to fill]
• Expected approval date: [or ask them to fill]

Please reply by [Reply-by Date] with those two items. If approval slips past [Hard Date], I will need to [pause further / reschedule / close the open slot] so my calendar stays accurate.

Payment link once approved: [Payment Link].
