Accounting Is Behind: Follow-Up Email Template
When a client says accounting is behind, it is payroll week, or there is a backlog, you need a dated next check-in—not pressure that burns the relationship. Acknowledge the delay, confirm the open balance, and lock when you will follow up again.
Before you email
- Write down what they said (behind / payroll week / backlog) and when they said it.
- Confirm invoice number, amount, and original due date.
- Propose one specific next check-in date (not "sometime next week").
- Decide your boundary if that date slips (second reminder, pause work, payment plan).

Hi [Client Name], Thanks for letting me know accounting is [behind / in payroll week / clearing a backlog]. I understand the delay. For tracking on my side, invoice [Invoice #] for [Amount] remains open (originally due [Due Date]). Payment link: [Payment Link]. I will check back on [Check-in Date] unless you confirm payment has been submitted before then. If a more realistic pay-by date works better for AP, reply with that date and I will use it instead. Thanks, [Your Name] [Your Business]
Free template: day-of check-in after the backlog window

Hi [Client Name], Following up as planned after you noted accounting was [behind / in payroll week]. Has invoice [Invoice #] ([Amount]) been submitted for payment? If yes, please share the expected arrival date or reference. If it is still in queue, reply with one pay-by date no later than [New Pay-by Date] so I can keep my schedule accurate. Pay anytime here: [Payment Link]. [Your Name]
Rules that keep backlog follow-ups fair
- Always leave with a calendar date; "when things calm down" is not a plan.
- One polite acknowledgment email, then your normal sequence if the check-in date passes with silence.
- Do not stack late fees mid-backlog unless your contract already allows them and you warned in writing.
- If backlog excuses repeat every cycle, switch to written payment commitments or deposit-before-work for new scopes.
