Payment Reminder After an Invoice Dispute Is Resolved: Email Templates
Resolving an invoice dispute feels like the finish line, but it is often where payment quietly stalls. The client feels the problem is handled, the corrected invoice gets lost, and nobody writes down exactly what was agreed. The fix is to put the resolution in writing immediately, send a clean revised invoice, and then follow up as you would on any overdue balance, pointing back to the agreement rather than reopening the argument.
Why payment stalls after a dispute
- The agreement was made on a call and never written down, so details drift.
- The original invoice was voided or put on hold in their system and the corrected one never replaced it.
- Your contact considers the issue closed and forgets to tell accounts payable to release payment.
- Some clients use the dispute to reset the clock and quietly push payment into the next cycle.
Before you send
- Write down the exact resolution: new amount, any credit or rework, and the agreed payment date.
- Issue a revised invoice with a new number or a clear reference to the original.
- Send it to both your contact and accounts payable so the hold is lifted.
- Keep follow-ups about the agreed terms, not about who was right in the dispute.

Hi [Client Name], Following up on revised invoice [Revised Invoice #] for [Revised Amount], which we agreed would be paid by [Agreed Payment Date]. I have not seen the payment yet. Could you confirm that the hold on the original invoice was lifted and the revised one is in your payment run? I am copying [Accounts Payable Email] in case they need the updated invoice directly. Payment link: [Payment Link] Thanks, [Your Name]

Hi [Client Name], On [Agreement Date] we resolved the question about invoice [Original Invoice #], and you agreed in writing to pay [Revised Amount] by [Agreed Payment Date]. That date has passed and payment is now [Days] days late. I followed up on [Reminder Dates]. The adjusted amount already reflects the concession I made to settle the issue. Please pay by [Final Deadline] at [Payment Link]. If payment is not received by then, I will [apply the late fee in our agreement / pause further work / pursue the balance through a formal demand], and the original terms may apply. I would much rather close this out on the terms we agreed. Regards, [Your Name] [Business Name] · [Phone]
