Client Disputed the Invoice: Email Templates That Stay Calm
A dispute is not the same as silence. Reply the same day, put the disputed vs undisputed amounts in writing, and give a short resolve-by date. Clarity beats a long defense.
What to do before you email
- Pull the signed proposal, SOW, or message that approved the work and rate.
- Split the invoice: undisputed amount they can pay now vs disputed lines.
- Decide your floor (full pay, small credit, revise one line) before you negotiate.
- Do not keep delivering open-ended work while the dispute is unresolved.

Subject: Re: invoice [Invoice #] — confirming the disputed items
Hi [Client Name], Thanks for flagging the issue on invoice [Invoice #] ([Amount], due [Due Date]). Here is how I am splitting it so we can move: • Undisputed / ready to pay now: [Undisputed Amount] for [Lines / deliverables] • Disputed / under review: [Disputed Amount] for [Lines] Please pay the undisputed portion by [Pay-by Date] using [Payment Link]. For the disputed lines, reply by [Reply-by Date] with the specific change you want (remove, revise, credit) and I will confirm in writing the same day. Happy to resolve this quickly. If they dispute the whole invoice
Subject: Invoice [Invoice #] — next step to resolve
Hi [Client Name], Understood that you are disputing invoice [Invoice #] for [Amount] in full. To close this, I need one of these by [Reply-by Date]: 1) Written approval of the original amount and a pay date, or 2) A line-by-line list of what you believe should change, with your proposed total. Attached / linked again: [Proposal / SOW / approval thread] and the invoice PDF. Until we have a written agreement on the revised total, I am pausing [new work / handoff / final files] as of [Pause Date]. I want a fair outcome. Send your proposed numbers and I will respond same day. [Your Name]
Rules that keep disputes short
- Never argue tone. Argue the signed scope and dates.
- Collect undisputed money first so cash flow is not held hostage.
- Offer one written compromise, then a deadline—not endless revisions.
- If they ghost after disputing, treat it like a late invoice with a paper trail.
