Invoice 7 Days Overdue: Friendly Follow-Up Email Templates for Freelancers
A week past due is the sweet spot for your first real follow-up. It is late enough that the due date clearly passed, and early enough that nobody is annoyed yet. Most invoices at this stage are simply forgotten or stuck waiting on an approval, so the tone should stay friendly. What matters most is that you leave the email with a clear next step: a confirmed payment date.
What to include at 7 days
- The invoice number, amount, and original due date, ideally in the subject line so it is easy to find.
- The invoice attached again plus a payment link, so they can act without searching for your first email.
- One direct question: when will it be paid?
- No late fee threats yet. If your contract has a late fee, you can mention it in the next follow-up instead.
If there is no reply
- Wait about 5 to 7 more days, then send a second reminder that is shorter and more direct.
- Copy accounts payable or the person who approves invoices if you know who that is.
- Around 30 days past due, move to a firm email with a specific pay-by date.
- Keep a simple log of every email you send and the date; you will want it if things drag on.
