Follow-Up Email After a Phone Call About an Unpaid Invoice (Free Templates)
A phone call often gets an overdue invoice moving faster than another email, but a verbal "we will pay Friday" is easy to forget. Send a short recap email within an hour of hanging up. It confirms the amount, the date, and who is doing what, and it gives you a clear, polite reference point if the payment does not show up.
What to put in the recap
- Thank them for the call and mention the date and who you spoke with.
- Restate the invoice number, the amount, and the original due date.
- Write down exactly what they promised: the payment date, the method, and any step they are taking (approval, re-sending to accounts payable).
- Attach the invoice again and include the payment link so nothing is missing on their side.
- Ask them to reply if anything in your summary is wrong. Silence plus a written recap is much stronger than a memory of a call.
Timing
- Send the recap the same day, ideally right after the call.
- If the promised date passes, follow up the next business day and quote your recap.
- If a second promise also slips, move to a firmer reminder with a clear deadline.

Hi [Client Name], Thanks for taking my call today. Just so we are both on the same page, here is what we agreed: - Invoice: [Invoice #] for [Amount] (originally due [Due Date]) - Payment date: [Promised Date] - Method: [Bank transfer / card / check] - Next step on your side: [e.g. getting approval from Name / re-sending to accounts payable] I have attached the invoice again, and you can also pay here: [Payment Link]. If I got any of that wrong, just reply and let me know. Thanks, [Your Name]

Hi [Client Name], When we spoke on [Call Date], you mentioned invoice [Invoice #] for [Amount] would be paid by [Promised Date]. I have not seen the payment come through yet. Could you check where it is? If it has already been sent, a remittance or reference number would help me match it. Payment link, in case it is easier: [Payment Link]. Thanks, [Your Name]
Free template 3: Call went to voicemail
Replace every [bracket] before sending.
Hi [Client Name], I just tried calling about invoice [Invoice #] for [Amount], which was due on [Due Date], and left a short voicemail. No need to call back if it is easier to handle by email. Could you let me know when payment is scheduled? You can pay here: [Payment Link]. Happy to jump on a quick call if there is a problem with the invoice. Thanks, [Your Name]
