Client Says They Already Paid the Invoice but You Have Not Received It (Free Email Templates)
"We already paid that" is one of the trickiest replies to an overdue invoice. Usually it is honest: the payment went to an old account, is stuck in processing, or was matched to the wrong invoice. Sometimes it has not actually been sent. Either way, the fix is the same: thank them, ask for the details that let you trace it, and keep the tone neutral so nobody feels accused.
What to ask for
- The date the payment was sent and the method (bank transfer, card, check, PayPal, platform).
- A remittance advice, transaction ID, or check number.
- The exact amount and the account or payee name it was sent to, in case it went to old bank details.
- Which invoice number it was applied to on their side. Payments are often matched to the wrong invoice.
Before you reply
- Check every account and platform you use, including old bank accounts and spam folders for payment notifications.
- Search for the amount, not just the client name. Bank references are often truncated.
- Allow normal processing time: bank transfers can take 1 to 5 business days, international ones longer.
- If the details prove it landed in an account that is not yours, ask them to contact their bank for a recall or trace.
Free template 1: Ask for payment details

Hi [Client Name], Thanks for letting me know invoice [Invoice #] for [Amount] has been paid. I have checked my accounts and cannot see it yet, so it may still be in transit or matched to something else. Could you send me the payment date, the method, and a transaction ID or remittance advice? That will let me track it down quickly. Thanks for your help, [Your Name]
Free template 2: Still not received after details
Replace every [bracket] before sending.
Hi [Client Name], Thanks for the remittance details. I have checked again and the payment of [Amount] sent on [Payment Date] has still not reached my account. For reference, the correct payment details are: [Bank name / account name / account number or payment link] Could you check with your bank or finance team whether the transfer went to these details, or whether it was returned? If it went somewhere else, your bank should be able to trace or recall it. Thanks, [Your Name]
Free template 3: Paid to the wrong invoice or account
Replace every [bracket] before sending.
Hi [Client Name], I think I have found the mix-up. The payment you sent on [Payment Date] appears to have been [applied to invoice [Other Invoice #] / sent to my old account details]. Invoice [Invoice #] for [Amount] is still open on my side. Could you [move the payment to the right invoice / resend it to the details below]? [Correct payment details or Payment Link] Thanks for sorting this out with me, [Your Name]
