Client Payment Failed, Bounced, or Was Returned: Email Templates to Get It Re-Sent
You saw the payment notification, relaxed, and then the money never landed: a card was declined, a check bounced, or a bank transfer came back. Most of the time this is a clerical problem, not a client trying to dodge you. The goal is to tell them fast, without blame, and make re-sending the payment a two-minute job.
Figure out what actually happened first
- Check your payment processor or bank for the return reason (declined card, insufficient funds, wrong account number, closed account, stop payment).
- Note any fees your bank or processor charged you for the return; you may want to ask the client to cover them if your contract allows it.
- Confirm your own payment details are correct on the invoice. A typo in your account number is an easy fix but an awkward one to discover later.
How to ask for the re-send
- Email the same day you notice. The longer you wait, the more it looks like the invoice was paid.
- State the facts plainly: the amount, the date it was attempted, and the reason given, without guessing at motives.
- Give one clear way to pay again (payment link, verified bank details, or updated card) and ask for a date.
- If it happens twice, ask for a different payment method or payment before further work.
Free template 1: Card payment declined or failed
Replace every [bracket] before sending.
Hi [Client Name], A quick heads-up: the card payment for invoice [Invoice #] ([Amount]) attempted on [Date] was declined by the card issuer, so the invoice is still open on my side. This usually just means the card hit a limit or needs approving with the bank. You can retry here: [Payment Link]. If a different card or a bank transfer is easier, let me know and I will send the details. Could you let me know when you expect to re-send it? Thanks, [Your Name]
Free template 2: Check bounced or ACH transfer returned
Replace every [bracket] before sending.
Hi [Client Name], I wanted to let you know that the [check / bank transfer] for invoice [Invoice #] ([Amount]) was returned by my bank on [Date]. The reason given was: [Return Reason]. Could you re-send the payment by [Pay-by Date]? To avoid another delay, these are my verified payment details: [Bank / Payment Details or Payment Link]. My bank charged a [Fee Amount] return fee. As noted in our agreement, I have added it as a separate line on the updated invoice attached. [Delete this paragraph if you are waiving the fee.] Thanks for sorting this out, [Your Name]
Free template 3: Second failed payment: ask for a different method
Replace every [bracket] before sending.
Hi [Client Name], The second payment attempt for invoice [Invoice #] ([Amount]) on [Date] also did not go through, so the balance is still open, now [Days Late] days past due. To get this closed out, could we switch to [bank transfer / a different card / payment link]? Details are here: [Payment Details]. I will hold off on scheduling the next phase of work until this invoice clears. Please confirm the date you will send it. Thanks, [Your Name]
