Client Wants a Discount Because They Paid Late: Email Template

Late payers sometimes ask for a discount as if the delay was your fault. You can stay polite, keep the invoice amount, and offer one clear option (pay in full now, or a short plan) without setting a permanent lower rate.

Subject: Invoice [Invoice #] amount stays [Amount]
Hi [Client Name],

Thanks for the note. Invoice [Invoice #] remains [Amount] for the work delivered on [Project]. I am not reducing the project fee because payment was late.

What I can do once:
• Pay [Amount] in full by [Pay-by Date] via [Payment Link], and I will waive the late fee of [Late Fee] as a one-time courtesy, or
• Confirm a two-part plan: [Amount 1] by [Date 1] and [Amount 2] by [Date 2]

Reply with which option works. After [Pay-by Date] the original terms (including late fee) stay in place.

Thanks,

Subject: No discount on invoice [Invoice #] — payment link
Hi [Client Name],

I cannot discount invoice [Invoice #] ([Amount]). The fee matches the agreed scope for [Project].

Please pay [Amount] here: [Payment Link]. If cash flow is tight this week, tell me a dated plan by [Reply-by Date] and I will confirm whether that works. I will not change the base fee.

Thanks,
[Your Name]
