Client Ghosted After Receiving Final Files: Email Templates to Get Paid
You sent the final files, the client said thanks (or nothing at all), and now the invoice is sitting unpaid while they go quiet. This is one of the most frustrating spots for a freelancer because you have already handed over the work. You still have leverage: your contract, the usage license that usually only transfers on full payment, and a clear written record. These emails keep it calm and specific so the client has an easy path to pay.
Why clients go quiet after delivery
- The project is "done" for them, so your invoice drops down their priority list.
- The person who approved the work is not the person who pays, and the invoice never reached AP.
- They are unsure about something in the files and are avoiding the conversation.
- Occasionally, they are hoping you will not chase. A clear paper trail fixes that.
Your leverage after handing over the files
- Check your contract: many state that copyright or the usage license transfers only on payment in full.
- Keep the source files, edits, and support you have not delivered yet until the balance is paid.
- Keep every email. Delivery date, approval, and invoice date are your strongest evidence.
- Never threaten to take down or break work you delivered unless your contract clearly allows it. Get legal advice for large amounts.
Free template 1: Friendly nudge after delivery
Replace every [bracket] before sending.
Hi [Client Name], I hope the final files for [Project Name] are working well for you. I sent them on [Delivery Date], along with invoice [Invoice #] for [Amount], due on [Due Date]. I have not seen payment come through yet, so I wanted to make sure the invoice reached the right person. Here it is again, with a payment link: [Payment Link]. If anything in the files needs a small fix, let me know and I will take care of it. Thanks, [Your Name]
Free template 2: Firm follow-up on usage rights
Replace every [bracket] before sending.
Hi [Client Name], I am following up again on invoice [Invoice #] for [Amount], which was due on [Due Date] and is now [Days Overdue] days overdue. I delivered the final files for [Project Name] on [Delivery Date] and have not heard back since. As a reminder, our agreement states that [usage rights / copyright] for the delivered work transfer to [Company Name] once the invoice is paid in full. Please arrange payment by [New Pay-By Date] here: [Payment Link]. If there is a problem with the work or the invoice, reply and tell me what it is so we can sort it out. Best, [Your Name]
Free template 3: Final notice with a pay-by date
Replace every [bracket] before sending.
Hi [Client Name], I have contacted you on [Contact Dates] about invoice [Invoice #] for [Amount] for [Project Name], delivered on [Delivery Date]. I have not received payment or a reply. Please pay the full amount by [Final Deadline] at [Payment Link]. If you need to split the payment, reply by that date with a plan and I will consider it. If I do not hear from you by [Final Deadline], I will [send the account to collections / file in small claims court] and the license to use the delivered work will not transfer. I would much rather settle this directly. Regards, [Your Name]
