Final Files After Payment: Email Templates to Deliver Work Once the Invoice Is Paid
Many freelancers share watermarked previews or low-res proofs, then send the final, editable files once the invoice is paid. That is a normal and fair way to work, as long as it was agreed up front (in your proposal, contract, or invoice terms). The emails below keep it friendly: the work is done, here is how to see it, and here is how to get the finals today.
Before you hold files back
- Check your contract or proposal: does it say final files are delivered on full payment? If yes, quote that line. If not, you can still ask, but be politer and more flexible.
- Send a preview (watermarked images, a staging link, a PDF proof, a screen recording) so the client can confirm the work is complete.
- Attach the invoice and a payment link in the same email as the preview, so paying is one click.
- Say exactly what they get on payment: file formats, source files, logins, or ownership transfer.
If they push back
- Stay factual: the work is finished and ready, and delivery is tied to payment, not to a lack of trust.
- If they need the files urgently for a launch, offer to send them the minute the payment confirmation arrives.
- For a long-term client with a good payment history, you can decide to release early. That is your call, not an obligation.
- Never delete or damage work you already delivered. Holding back finals you have not yet delivered is different from taking back something they already have.

Hi [Client Name], Good news: [Project Name] is finished. You can review everything here: [Preview Link]. Invoice [Invoice #] for [Amount] is attached. You can pay here: [Payment Link]. As agreed in [our proposal / the contract], I will send the final files ([file formats / source files / logins]) as soon as payment comes through, usually the same day. Let me know if you spot anything in the preview you want adjusted first. Thanks, [Your Name]

Hi [Client Name], Thanks for checking in. The final files are ready to go. My terms (in [the contract / proposal from Date]) are that final files are released once the invoice is paid. Invoice [Invoice #] for [Amount] is here: [Payment Link]. If you need them for a deadline, pay whenever suits you today and I will send the files as soon as I see the confirmation. If you want to keep reviewing in the meantime, the preview link still works: [Preview Link]. Thanks for understanding, [Your Name]
