Freelancer Invoice Email Templates
Most late payments start with a vague invoice email. These three short templates cover the whole happy path: send the invoice, remind before it's due, and confirm when it's paid. Clear amounts, dates, and a payment link get you paid faster.
1. Sending the invoice
Send this the same day the work or milestone is delivered. Replace every [bracket] before sending.
Hi [Client Name], Thanks again for the work on [Project]. Attached is invoice [Invoice #] for [Amount], due [Due Date] ([Payment Terms]). Pay here: [Payment Link] If your AP team needs a PO number or a different billing contact, just reply and I'll update it. Best, [Your Name] [Your Business]
2. Gentle "due soon" reminder
Send 2–3 business days before the due date. It's a courtesy, not a chase.
Hi [Client Name], Quick heads-up that invoice [Invoice #] ([Amount]) is due on [Due Date]. Here's the payment link again for convenience: [Payment Link] If it's already in process, thank you, and please ignore this note. Thanks, [Your Name]
3. Payment received / paid confirmation
Send within a day of the payment landing. It closes the loop and sets up the next project.
Hi [Client Name], Confirming I received [Amount] for invoice [Invoice #]. Thank you for the prompt payment. Your paid receipt is attached for your records. Whenever you're ready for [Next Phase / Next Project], I'd be glad to help. Best, [Your Name]
Tips that make invoice emails work
- Put the invoice number, amount, and due date in the subject line so AP can search for it.
- Always include a one-click payment link; don't make them hunt through the PDF.
- Reference the quote, SOW, or email where they approved the work.
- Keep it short. Three to five lines beats a paragraph of apologies.
- Track what you sent and when, so a missed due date gets a follow-up instead of silence.
If the due date passes
Move to a polite past-due follow-up the day after. See friendly payment reminder after the due date and the full overdue invoice follow-up sequence.
