Client Out of Office: Unpaid Invoice Follow-Up Email Templates
An out-of-office reply is not a refusal to pay. It is a pause. Your job is to find someone who can act while they are gone, or to put a clear follow-up on the calendar for their return date. Do not keep pinging the same inbox every other day while the auto-reply is still running.
When you get an OOO reply
- Read the auto-reply for a return date and any backup contact or accounts-payable alias.
- If a backup is named, forward the invoice once with a short note; do not escalate the tone.
- Log the return date in your tracker and schedule your next send for that day plus one business day.
- If there is no return date and no backup, send one polite note asking who covers payments while they are away.
When they are back
- Restart with a short, friendly reminder that references the original due date and the OOO gap.
- Do not stack every past reminder into one angry email; pick up as if the clock paused.
- If the invoice is now much further past due because of the trip, you can move one step firmer, but lead with the facts.
