Invoice Sent to the Wrong Email: Resend Template
Invoices land in the wrong inbox all the time—old contact, typo, or personal instead of AP. Fix it fast with a short resend that confirms the correct payables contact and keeps the due date clear.
Before you email
- Confirm the wrong address (bounce, auto-reply, or someone saying "not me").
- Find the right AP / payables / billing email from the contract, PO, or prior payments.
- Note the original send date and due date so nobody thinks you are late.
- Attach or link the same invoice PDF; do not change totals without a revised invoice number.
Free template: resend to the correct contact

Subject: Correct recipient for invoice [Invoice #] — please confirm AP contact
Hi [Client Name / AP Contact], Invoice [Invoice #] for [Amount] (due [Due Date]) was previously sent to [Wrong Email]. That address is not the right place for payment. I am resenting it here and attaching the same PDF for convenience: [Payment Link or Attachment]. Please reply confirming: • Correct accounts payable / billing email: [Confirm or correct] • Preferred invoice format (PDF / portal / PO #): [Confirm] • Any vendor ID or reference I should include: [Vendor ID / PO] If payment is already in process from the earlier send, reply with the expected arrival date so I do not nudge twice. Thanks, [Your Name] [Your Business]
Free template: ask project contact for the right AP email
Replace every [bracket] before sending.
Subject: Who should receive invoice [Invoice #]?
Hi [Project Contact], I sent invoice [Invoice #] ([Amount], due [Due Date]) to [Wrong Email] and it looks like that is not accounts payable. Could you reply with the correct billing / AP email (and PO number if required) by [Reply-by Date]? I will resend the same invoice immediately once I have it. Payment link for convenience once we have the right inbox: [Payment Link]. Thanks, [Your Name]
Rules that keep wrong-email fixes clean
- Resend the same invoice number unless amounts change; then issue a revised invoice.
- CC the project contact once so they know payment is not blocked on them.
- Update your CRM / invoice tool with the confirmed AP email after they reply.
- If silence continues after the correct inbox is confirmed, use your normal overdue sequence—do not restart from day one.
